CANDIDATEPORTAL.Your guide to using The Recruitment Co.’s Candidate Portal.Within this brochure we will explain how to use our Candidate Portal via a website link called EPSILON. We will also explain how to access our mobile App called AURIGA. Both applications will allow you to manage your weekly timesheets.So what can our portal do for you, our valued temporary worker?Manage your timesheets online with ease, from ‘Claimed’ to ‘Approved’ for payment.Update your personal information and upload a new CV directly to us.Add your photo ID and any business required compliance to help get you out to work quicker!Update your calendar for personal use, holidays cannot be currently claimed and paid in this way.Message The Recruitment Co. free of charge within the App Auriga.Log in and manage all of the above at a time to suit you.

Timesheets.My Timesheets - Know The Key Stages.This section of the candidate dashboard displays any relevant timesheets which are either awaiting an action or have already been approved. You can click onto one of the records showing to display further options.Knowing the Key Stages: ● New – Displays any weeks worked which are new and have yet to be sent to your Manager for authorisation/payment.● In Progress/Claimed – These will show the hours you have entered, reviewed and claimed for that working week. Once claimed they are now locked and sent to your Line Manager/timesheet approver for approval. It is vital that you ensure these details are correct before clicking ‘claim’.● Approved – Displays all timesheets which have been approved by your Manager, the hours worked (daily), total hours, week commencing date. ● Queried – Should your Manager dispute your claimed hours it will show in their system as ‘queried . Your timesheet approver or The Recruitment Co. will contact you to discuss the hours you claimed.

Always in Good CompanyHow to Manage your TimesheetsTimesheets.Add start, finish time and breaks to be deducted, and the system will automatically calculate the total hours worked.Review the hours you have entered - they must not include any holidays these are processed separately using a holiday request form. This is for worked hours only.Save Changes and Claim your Timesheet when you have finished adding the hours and you are happy to move to ‘claimed’. Only press ‘claimed’ for hours you are confident are 100% correct as they will be locked at this stage and sent to the timesheet approver.123

You will be able to view your payslip in the usual way within the pay portal from Thursday onwards.Hours showing ‘Approved’ on a Tuesday after 10am are on there way to be processed for payment to you that Friday.Usually from a Monday at 2pm you will be able to view your approved hours. However some clients follow a 2nd Tier clearance process that is not complete until Tuesday 10am - please allow for this time if that is the case ie DFC workers.1st Level Clearance - Once reviewed by your Line Manager they will be either Approved or Queried.Save and Claim your hours. This will now show as Claimed in your Line Managers / Timesheet approvers system.Review - are you sure you want to claim these worked hours?Accurately add your worked hours ensuring each daily and total hours, for that week commencing date are correct.123Timesheets.Timesheet Approval Process Map4567If your Timesheet is queried this means your timesheet approver/ Line Manager does not agree with the hours you have claimed. FAQs.Always in Good CompanyFrequently Asked QuestionsQ. What if I claim my hours after 10am on a Monday? A. Only Approved hours are processed and paid. If you do not meet the cut off time of 10am on Monday to Claim your hours you may risk not being paid that week.Q. What if I made a mistake and my claimed hours are different to those showing approved?A. It may now be too late depending on the time you notify us or your Line Manager, however, you must make The Recruitment Co. or your Line Manager aware immediately. Call the branch.Q. What do I do if my claimed hours are ‘Queried’?A. This means your Line Manager does not agree with your claimed hours. You must contact your Line manager or Timesheet approver immediately to discuss. Once resolved your your Line Manager may ask The Recruitment Co. to edit and approve the correct hours once agreed with you. This must be completed within the cut off time - 2pm Monday.Q. Can I book holidays and claim them to be paid in the same way?A. No, not currently. You must NOT claim holidays on the portal or App. You must continue to book/claim holidays in the usual way using a holiday booking form.Q. Can I claim my expenses using the app/portal?A. No, not currently. You must continue to claim expenses in the usual way using an expense claim form and attach relevant receipts. Q. I am not in work today but I want to claim my hours?A. No problem, access your online timesheet from your mobile device or the portal via the web link at anytime to suit you before the deadline of Monday 10am.

Now you are registered in the web platform Epsilon, all of our workers are asked to download our app.Step 1. On the landing page of our portal you will find details of the candidate free application that is available in the app store to download. Step 2. You will see add ‘my agencies’ click it and scan the code below. This will link you to The Recruitment Co. Step 3. You should have already been provided with a password and previously logged into Epsilon the web based platform, if you have followed the steps in the brochure from page 2. Use the same details here.Or you can register on Auriga and set up your own/different login details. Step 4. If you would prefer to claim your worked hours via the app rather than the Epsilon website you can claim your hours in exactly the same way (See page 8+12 for guidance).Auriga App.
